HIPAA-compliant phone system for medical practices

Every call to a clinic can contain PHI. A phone system has to be chosen like any other system that touches patient information, not like an office utility.

Where a phone system touches PHI

The audio of a call is the obvious part. The less obvious parts are what the system keeps: voicemail messages, call recordings, transcripts, call logs with caller numbers, and any messages taken for staff. A hosted or VoIP system stores these on the vendor's infrastructure, so the vendor becomes a business associate.

HHS's business associate guidance says a BAA is required when a vendor creates, receives, maintains or transmits PHI for you. Its cloud guidance adds that the same is true when the vendor stores only encrypted data.

A buyer's checklist for VoIP

HHS does not publish an approved-product list, so a clinic evaluates the vendor against the Security Rule's safeguards.

  • BAA in writing before any patient call is routed to the system.
  • Encryption for voicemail, recordings and transcripts.
  • Role-based access, so front desk, billing and providers see what their job needs.
  • Audit logs for who listened to, exported or deleted a recording.
  • A retention approach you control for recordings and voicemail.
  • A documented risk analysis that includes the phone system.

Physical office habits still count

HHS's incidental uses and disclosures guidance reminds practices that reasonable safeguards include speaking quietly at the front desk and positioning screens and handsets thoughtfully. Moving to a compliant platform does not replace those habits.

How the FrontDeskClinic phone line works

The phone line is built around an AI receptionist that backs up your staff.

  • A dedicated local phone, fax and SMS line on every plan, in the area code you choose.
  • Keep your existing number and forward it to FrontDeskClinic, or ask us to port it at no charge.
  • Unlimited staff users on every plan.
  • Use it in the browser with no handset, on the phones you already have, or on optional Yealink handsets we supply (T74LTE, SIP-T87W, W59R) on Pro and above.
  • Voicemail with AI summaries, call summaries and full transcripts on demand, and a daily email brief.
  • A BAA on every plan, end-to-end encryption and audit trails as listed on our FAQ, and zero reuse of your calls for AI training.
  • Calls forwarded across multiple devices.

Frequently asked questions

Is VoIP HIPAA compliant?
VoIP is a transport, not a compliance status. A VoIP service is acceptable for PHI when the vendor signs a BAA and provides the safeguards the Security Rule expects.
Do I need to replace my phones?
No. FrontDeskClinic works on the phones you already have, in the browser, or on optional Yealink handsets we ship provisioned for your line (Pro and above).
Can I keep my clinic's phone number?
Yes. Forward your existing number to your FrontDeskClinic number, or ask us to port it to us at no charge.
Who is responsible for compliance, the clinic or the vendor?
Both. The vendor is directly responsible as a business associate, and the clinic remains responsible for its own policies, staff training and risk analysis.
