HIPAA-compliant voicemail for medical offices

A voicemail box is a small database of patient information. Most clinics treat it like an answering machine and forget that it needs the same care as a chart.

Two voicemail problems, not one

The first is the voicemail you receive. Patients leave names, dates of birth, symptoms and medication questions. Where that audio is stored, who can play it and how long it stays are all safeguards questions. If a hosted service keeps it, the service is a business associate.

The second is the voicemail you leave. A message on a patient's phone can be heard by someone else, so a short message with a call-back number is the safer pattern. HHS's incidental uses and disclosures guidance points the same way: reasonable safeguards, so say enough to get the callback and no more.

Practical rules for clinic voicemail

  • Keep voicemail on a system covered by a BAA, not on a personal handset.
  • Give each staff role only the mailboxes it needs.
  • Decide how long audio and transcripts are kept, and who can delete them.
  • Leave callback messages with your clinic name and number, not test results or diagnoses.
  • Do not forward voicemail audio through personal email.

Why summaries matter

A pile of unlistened voicemails is a patient-safety problem as much as a privacy one. A text summary lets staff triage the box in minutes and spot the messages that need a same-day call.

Voicemail in FrontDeskClinic

Voicemail is part of the phone line, and the AI receptionist reduces how much of it there is.

  • Voicemail with AI summaries on the plans we sell.
  • After-hours message capture, so a call outside office hours produces a message instead of a dead end.
  • Call transcription and summary, with full transcripts on demand in the dashboard.
  • Urgent triage escalation for messages that should reach a person.
  • A BAA on every plan and a daily email brief of what came in.

Frequently asked questions

Is it OK to leave voicemail for a patient?
Many practices do, with a minimum-necessary message: clinic name and a call-back number. Check your own policy and any preference the patient has recorded.
Is hosted voicemail a business associate?
If the provider stores or transmits PHI on your behalf, HHS treats it as one and expects a BAA.
Does FrontDeskClinic transcribe voicemail?
Yes. Voicemail comes with AI summaries, and call transcripts are available in the dashboard.
